A Dedicated Category

Why OCIA software beats spreadsheets and church management tools

Most parishes run OCIA on tools never designed for it. A dedicated OCIA platform changes that.

Why spreadsheets fail for OCIA program management

A roster in one tab, attendance in another, sponsor assignments in a third. Spreadsheets work until your program grows, and then they fall apart. OCIA program management means the curriculum, the people, and the records all live together.

Why paper records cannot follow an OCIA candidate

Sign-in sheets and printed handouts cannot follow a candidate from inquiry to initiation. When a sponsor wants last week's reading or a director needs an attendance report, paper makes simple questions slow.

Why church management software is not OCIA software

Church management suites are built for offertory and registrations. Generic learning platforms know nothing about the Rite of Election or the Scrutinies. OCIA Companion is software made for the rhythm of the catechumenate, not bent to fit it.

OCIA Companion treats OCIA program management as its own software category. Everything a director, sponsor, or candidate touches is built around the journey from first inquiry to the Easter Vigil. See how the full platform comes together on the OCIA Companion homepage.

How Catholic parishes run an OCIA year

OCIA is not one long class. It moves through four periods, each with its own rhythm — and the periods are exactly what generic church software does not understand.

  1. InquiryRolling, often late summer into fall

People arrive at different times and with very different backgrounds — an unbaptized adult, someone baptized in another tradition, a cradle Catholic who never got confirmed. OCIA software has to hold all of them in one roster without forcing them down the same track, because they will not receive the same sacraments.

  2. CatechumenateThe long middle, typically fall through Lent

The formation year proper: weekly sessions, readings, discussion, and the slow work of catechesis. This is where a spreadsheet quietly fails — attendance, curriculum, and sponsor pairings all change week to week, and nobody remembers in March what was covered in October.

  3. Purification and EnlightenmentLent, beginning with the Rite of Election

Catechumens become the Elect at the Rite of Election, and the Scrutinies follow on the third, fourth, and fifth Sundays of Lent. These are fixed liturgical dates tied to the Church calendar, not arbitrary meetings, and software that does not know they exist cannot help you plan around them.

  4. MystagogyEaster through Pentecost

After initiation at the Easter Vigil, the newly initiated keep meeting. Most parishes lose people here, because the records that carried the year end at the Vigil and the follow-up depends on someone's memory.

FAQ

OCIA software questions Catholic parishes ask

Is there software made specifically for OCIA?

Yes. OCIA Companion is purpose-built OCIA software for Catholic parishes. Rather than adapting a generic church tool or a learning platform, it models the actual OCIA process: weekly curriculum, the liturgical rites, sponsor pairings, and the people moving from inquiry to initiation.

Can it replace our spreadsheets?

It can. Curriculum, attendance, sponsor pairings, and candidate records all live in one place, so you stop juggling separate files. You can still export attendance and reports to CSV whenever your parish office needs them.

Does it work for RCIA too?

It does. RCIA is the former name for the same process now called OCIA (the Order of Christian Initiation of Adults). If your parish still says RCIA, the software works exactly the same way.

What does the OCIA software cost?

Your parish’s first 10 candidates are free, with every feature included and no credit card required. When your program grows, our paid plans are priced to your size, starting at $500 a year for a single class of up to 25 candidates.

Can OCIA software track the Rite of Election and the Scrutinies?

Yes. The liturgical rites are built into the calendar rather than added as generic events, so the Rite of Election, the three Scrutinies during Lent, and the Easter Vigil sit alongside your weekly sessions. Your parish can add its own dates too.

Does it handle candidates and catechumens differently?

It does. An unbaptized catechumen, a baptized candidate from another tradition, and an uncatechized Catholic are on genuinely different paths toward different sacraments. Each person carries their own stage, so one roster holds all of them without pretending they are the same.

Can sponsors and candidates use it, or only the director?

Everyone on the OCIA team has their own access. Directors run the program, sponsors see the candidate they are paired with, and candidates get the weekly material, the discussions, and the built-in Bible and Catechism on their phone.

How long does it take to set up an OCIA program?

Most parishes are running the same afternoon. Create the classroom, share a join code, and build your weeks as you go. If you ran a program last year, you can copy that whole curriculum forward instead of rebuilding it.

Is our parish and candidate data secure?

Yes, and we publish exactly how rather than asking you to take it on faith. Every parish's data is isolated at the database level, traffic is encrypted, and the full detail is on our data security page.
